Email Center — Overview
Turn on, edit, preview, test and track every automatic email SubscriptionFlow sends: subscription, license, security, renewal and win-back messages.
On this page
Where to find it: SubscriptionFlow → Email Center (visible on every plan).
What this does
SubscriptionFlow watches what happens in your store — a subscription is created, a payment fails, a license is activated, a customer changes their password — and can send a matching branded email automatically. The Email Center gives you one screen to:
- Enable or disable each email individually.
- Edit the subject, heading, body, and footer.
- Insert placeholders like
{customer_first_name}or{plan}that fill in real values when the email is sent. - Preview an email with sample data and send yourself a test.
- See a log of everything that was sent, failed, or skipped.
Every email is OFF by default. Even on Pro, nothing is sent until you enable it — so activating Pro never surprises your customers.
The tabs
| Tab | What’s inside | Availability |
|---|---|---|
| Subscription | Created, renewed, payment success/failed, cancelled, suspended, reactivated, expired, grace started | ⭐ Pro |
| Free Trial | Trial started, ending soon, ended — payment due, converted to paid, payment failed, expired | ⭐ Pro |
| License | Site activated, new website activated, deactivated, activation limit reached | ⭐ Pro |
| Security | 2FA enabled/disabled, recovery codes regenerated, too many attempts, email/password changed | ⭐ Pro |
| Retention | Renewal reminders (30/14/7/3/1 days), grace ending, last day, win‑back, cancellation survey, sorry‑to‑go | ⭐ Pro |
| Admin | Notifications to the store admin (new subscription, cancelled, expired, payment failed) | ⭐ Pro |
| Logs | Every send attempt, with filters | ⭐ Pro |
On Starter (Free) you can open the Email Center and browse and preview every email, so you can see exactly what’s available. Enabling, editing, and sending require Pro — locked items show a Go Pro prompt. (Some security emails, such as 2FA and recovery codes, additionally depend on the Security module.)
How to use it
- Go to SubscriptionFlow → Email Center (Pro).
- Open the tab for the kind of email you want (e.g. Subscription).
- Click Edit on a template.
- Turn on Send this email, adjust the wording, and insert any placeholders you like.
- Click Preview to see it, and Send test to email it to yourself.
- Save Email.
- Repeat for each email you want to switch on.
Tips & Best Practices
-
Turn on only what your customers need. Start with the essentials (payment failed, subscription created) and add more over time.
-
Always send yourself a test after editing, so you see exactly what the customer receives.
-
Keep it on‑brand. Emails use your WooCommerce email styling automatically (logo, colours) — set those under WooCommerce → Settings → Emails.
-
Check the Logs after enabling something new to confirm it’s actually sending.
Frequently Asked Questions
Will enabling the plugin start sending emails automatically?
No. The Email Center is Pro, and even then every template is disabled by default; you choose what to switch on.
Do these replace WooCommerce’s own emails?
No — they’re additional, SubscriptionFlow‑specific notifications. Your normal WooCommerce order emails are untouched.
Can I use my own wording and language?
Yes. Edit any template’s subject, heading, body, and footer. Placeholders keep the personalisation.
Do I need Pro?
You can browse and preview every email on any plan. Enabling, editing, and sending require Pro. Retention/win‑back automation additionally uses the scheduler (Pro).
